Applies to bookings, passes and memberships made through the WannaBook booking platform and the ColourPlay CIC website.

These Terms & Conditions govern your use of the ColourPlay CIC website and the WannaBook booking platform, and your participation in ColourPlay sessions, parties, passes and memberships. Please read them before you book. By booking with us, you accept the terms set out below, together with any additional terms shown in the description of the individual session, pass or product you are booking.

1. General Terms of Use

1.1 By accessing and using the ColourPlay CIC website and the WannaBook booking platform, you agree to comply with these Terms & Conditions and with any product-specific terms shown at the point of booking.
1.2 We may update, modify or replace any part of these Terms & Conditions at any time. The current version will always be published on our website, and the terms that apply to your booking are those in force at the time you make it.
1.3 ColourPlay CIC may refuse service at our discretion, including where these terms have been breached or where behaviour during a session puts the safety, comfort or enjoyment of others at risk.
1.4 Bookings, passes and memberships are managed through WannaBook, our third-party booking platform. When you book, you also accept WannaBook’s own terms of use, which are presented to you during checkout.

2. Booking & Payment

2.1 Bookings for ColourPlay sessions can be made up to 90 days in advance through the WannaBook booking platform, subject to availability.
2.2 Full payment is required at the time of booking to secure your space, unless a different arrangement is stated for that product. Party bookings are the main exception and are covered in the Parties section below.
2.3 We may change our pricing at any time. Any change applies to new bookings only and does not affect a booking you have already paid for.
2.4 If a participant does not attend a booked session, and the booking has not been amended or cancelled beforehand in line with these terms, no refund will be issued.

3. Early Bird Discount

3.1 The Early Bird Discount rewards customers who book ahead, offering a saving of up to 25% when a booking is made seven or more days before the session date. The saving that applies is shown at the point of booking.
3.2 The Early Bird Discount is offered subject to availability and may be withdrawn at any time without notice. Withdrawing the discount does not affect Early Bird bookings already confirmed and paid for.
3.3 If an Early Bird booking is rescheduled to an earlier date that no longer meets the seven-day condition, the discount will no longer apply. The difference between the discounted price and the standard price for the new date becomes payable, and we will ask you to settle it before the amended booking is confirmed.
3.4 Cancellation and refund arrangements for Early Bird bookings are set out in the Amendments, Cancellations & Refunds section below.

4. Amendments, Cancellations & Refunds

4.1 The arrangements in this section apply unless a different rule is stated in the description or detailed terms of the session, pass or product you have booked. Where the two differ, the product-specific terms take precedence.
4.2 Refunds on cancellation are limited. Bookings made with an Early Bird Discount, and Party bookings, can be cancelled for a refund only where the cancellation is made seven or more days before the booking date. All other bookings are not eligible for a refund on cancellation.
4.3 Whether or not a booking qualifies for a refund, you may ask us to adjust it to an alternative session, date or product, subject to availability. Where the alternative costs more than the original booking, the price difference is payable before the amended booking is confirmed. We do not refund any difference where the alternative costs less.
4.4 Standard (non-Early Bird) session bookings can be amended up to two hours before the scheduled start time, subject to availability. Amendments requested within two hours of the start time may not be possible, and no refund will apply.
4.5 If you expect to arrive early or late, please contact us ahead of your session so that we can look at adjusting your booking rather than treating it as a missed session.
4.6 These arrangements sit alongside your legal rights as a consumer. Nothing in these terms removes any right to a refund that the law requires us to give.

5. Use of Premises & Session Participation

5.1 Everyone attending a ColourPlay session is a participant and must be included in the booking numbers.
5.2 “Babes in Arms” — young babies who are not taking part in activities and who remain held in a parent or guardian’s arms or sling — do not need to be included in the booking numbers. If a baby is set down to occupy a seat, play, or otherwise engage with the space, they become a participant, must be counted within the venue numbers, and an entrance fee applies.
5.3 Participants must follow the health and safety guidance given by ColourPlay staff and observe the session rules.
5.4 Parents and guardians are responsible for supervising their children and for their children’s behaviour throughout the session.
5.5 ColourPlay CIC is not liable for any loss, damage or injury on the premises except where it results from our proven negligence.
5.6 Participants must respect the facilities, equipment and other visitors. Where damage is caused intentionally or through reckless behaviour, the person responsible may be liable for the cost of repair or replacement.
5.7 The ColourRoom opens for each session at its booked start time. Please do not attempt to enter before your session begins.
5.8 To help us turn the room around between sessions, please arrive promptly for your booked time and avoid arriving too early or staying beyond the end of your session.
5.9 Subject to availability, we may be able to accommodate a change of time or extend a session on the day. Any additional time is charged accordingly.
5.10 You are responsible for your own belongings. Please take everything with you at the end of your session.
5.11 We keep any items left behind in lost property for 14 days. After that, we dispose of them as we see fit, either by donating to charity or through waste management.

6. Member Passes

6.1 Member Passes are pre-paid passes that give admission to ColourPlay sessions at a discount on standard pricing. They are purchased through WannaBook and paid for in full at the point of purchase.
6.2 Passes are built to suit the purchaser. When you buy a pass you choose the number of participants it admits, and the pass is priced accordingly. Some passes carry restrictions, which are stated in the product description — the FreeFlow pass, for example, admits children only.
6.3 Each pass has a duration and any conditions of use stated clearly in its product description. It is your responsibility to check these before you buy.
6.4 You still need to book each visit, whether online or at the door, subject to availability and capacity. Your pass acts as pre-payment towards the visits you book.
6.5 Where a booking includes more participants than your pass admits, the pass covers its entitlement and you pay the difference for the additional participants for that visit. This does not reduce your remaining entitlement.
6.6 Passes do not auto-renew. When a pass expires, access ends. To continue, please purchase a further pass when you are ready.

7. FreeFlow Sessions

7.1 FreeFlow sessions give children and young people space to create independently. They are offered in two age groups: FreeFlow Primary, for children in Primary 4 to Primary 7 (approximately 8 to 12 years old), and FreeFlow Secondary, for young people in Secondary S1 to S6 (approximately 12 to 18 years old).
7.2 For a participant’s first FreeFlow session, a parent or guardian must complete a registration form at drop-off, including emergency contact details.
7.3 All FreeFlow sessions must be booked in advance.
7.4 A term-time FreeFlow Member Pass is available in place of the previous block-booking voucher. The pass is discounted at 30% of standard admission and covers weekly entry to FreeFlow Primary or FreeFlow Secondary on all term-time session days within a single term. Terms run as follows: Term 1 from September to December, Term 2 from January to March, and Term 3 from April to June. The exact dates covered are shown in the pass description at the point of purchase.
7.5 FreeFlow Member Passes are subject to availability, follow the Member Pass terms above, and do not auto-renew.

8. ASN Sessions

8.1 ASN Sessions are for families and groups where one or more participants has an additional support need that calls for exclusive use of the ColourRoom.
8.2 To access ASN Sessions you must first register to join the ASN Family. During registration we ask you to tell us about the nature of the additional support need so that we can plan appropriately.
8.3 Once your registration is accepted, you can book exclusive use of the ColourRoom for your family or group.
8.4 ASN Sessions are offered subject to availability. We may withdraw availability, limit the number of sessions any one person can book, and adjust pricing at any time.
8.5 ColourPlay does not provide personal care and cannot take charge of any individual. Where personal support is needed, the participant should be accompanied by a suitable carer.
8.6 Where it is practical and reasonable to do so, we will make adjustments to assist with support needs identified at the time of booking.
8.7 Because of building and tenancy constraints, we are unable to accommodate large or wide-based wheelchairs, and there are no accessible toilet facilities on the premises. Please contact us before booking if you would like to discuss access.

9. ColourPlay Party Sessions

9.1 Party Sessions are available in two durations, 90 minutes or 2 hours, starting at the agreed booking time, with exclusive use of the ColourRoom throughout.
9.2 A per-person price applies. Parties have a minimum of 8 and a maximum of 14 participating guests, together with 2 supervising or spectating adults. The booking system displays a maximum party size of 16.
9.3 Party bookings are accepted immediately at the point of booking. A deposit of £50 is requested when the booking is placed, which secures your party. The balance can be paid at any point up to and including the day of the party.
9.4 A party can be cancelled for a refund of amounts paid only where the cancellation is made seven or more days before the party date. Cancellations made later than this are not eligible for a refund, including the deposit.
9.5 Additional products, such as party bags and upgraded art materials, may be available to add to your booking.
9.6 We may substitute snacks or upgrade materials of equivalent value where necessary, and we may adjust party pricing at any time. Price changes do not affect a party you have already booked.

10. Home Education Sessions

10.1 Home Education sessions are for families actively engaged in home education provision and local home education networking groups.
10.2 These sessions are offered subject to availability. We may withdraw availability, limit the number of sessions any one person can book, and adjust pricing at any time.
10.3 Cancellations or amendments to a Home Education session need a minimum of 48 hours’ notice, so that we can offer the space to someone else. After that point, and up to 24 hours before your session, we may be able to move your booking to a later date, subject to availability.
10.4 Cancellations made within 24 hours of your booked session are not eligible for a refund.

11. Parent, Baby & Toddler Sessions

11.1 Parent, Baby & Toddler sessions are relaxed, age-appropriate creative sessions for babies and toddlers together with their parent or carer.
11.2 Each child attending must be booked in and accompanied throughout by a responsible adult, who remains responsible for supervising the child at all times. The “Babes in Arms” arrangement in the Use of Premises section applies to these sessions.
11.3 Booking, amendment, cancellation and refund arrangements follow the general terms in the Booking & Payment and Amendments, Cancellations & Refunds sections above, unless the session description states otherwise.

12. Adult Only Nights

12.1 Adult Only Nights are themed creative sessions for adults. All attendees must be aged 18 or over, and we may ask for proof of age.
12.2 Selected Adult Only Nights operate on a “bring your own bottle” basis. ColourPlay does not sell alcohol. Where you bring your own, please drink responsibly and follow any guidance given by our staff on the night.
12.3 We may refuse entry to, or ask to leave, anyone who is unable to provide proof of age when asked, or whose behaviour puts the safety, comfort or enjoyment of others at risk. No refund applies in these circumstances.
12.4 Booking, amendment, cancellation and refund arrangements follow the general terms above, unless the session description states otherwise.

13. Childminder Member Pass

13.1 The previous Childminders Discount has been replaced by the Childminder Member Pass, a 30-day Member Pass offered to registered childminders at a significant discount on standard pricing.
13.2 To purchase a Childminder Member Pass you must provide valid evidence of your childminder registration.
13.3 The discount rate is as advertised in the pass description and is subject to change without notice. Any change applies to new purchases only.
13.4 The Childminder Member Pass follows the Member Pass terms above, including that it does not auto-renew. To continue, please purchase a further pass, providing current valid evidence of registration.

14. Community & Education Group Sessions

14.1 We offer dedicated sessions for community groups and for education groups, including nurseries, schools and home education networks. These are arranged with us directly and are offered subject to availability.
14.2 Specific arrangements for numbers, pricing, payment and cancellation are agreed and confirmed with the group organiser at the time of booking, and those agreed terms apply to the booking.

15. Gift Cards

15.1 Gift cards can be bought through our website and redeemed against ColourPlay bookings and products, subject to any conditions and expiry shown at the point of purchase.
15.2 Gift cards cannot be exchanged for cash and are non-refundable, except where the law requires otherwise.

16. Data Protection & Privacy

16.1 ColourPlay CIC collects and processes personal data in line with UK data protection law, including the UK GDPR and the Data Protection Act 2018.
16.2 Personal data you provide when booking is used to administer your session, communicate with you and provide customer service. Where you book through WannaBook, your data is also processed by WannaBook as part of providing the booking service.
16.3 We do not share your personal data with other third parties except where the law requires it or where you have given explicit consent.
16.4 You may ask to access, correct or delete your personal data by contacting us directly.

17. Changes & Cancellation by ColourPlay CIC

17.1 If we have to cancel or reschedule a session because of circumstances beyond our control, we will offer you a full refund or the option to transfer your booking to an alternative session.
17.2 We may make changes to session formats, content or availability where we need to.

18. Liability & Disclaimers

18.1 ColourPlay CIC provides art and craft sessions in a safe, supervised environment. Except where loss or injury results from our proven negligence, or where liability cannot be excluded by law, we are not liable for injury, accident or loss of personal property on the premises.
18.2 Participants take part in activities at their own risk. Please tell our staff about any allergies, medical conditions or additional support needs before your session begins.
18.3 Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, or for any other liability that cannot be limited or excluded under the law.
